2. Information we collect

We collect personal data that you provide directly, and a limited amount of technical data that is collected automatically when you use the site.

  • Information you provide: name, work email, phone number, company name, job title, and any details you include in our contact form or project enquiries.
  • Technical and usage data: IP address, browser and device type, pages visited, referring source, and approximate (city-level) location, collected through cookies and analytics.
  • Communications: records of correspondence when you email us or engage our services.

3. Legal basis for processing

Under the UK GDPR, we only process your personal data where we have a lawful basis to do so. Depending on the situation, we rely on:

  • Consent — for non-essential cookies and analytics, which you can give or withdraw through our cookie banner.
  • Legitimate interests — to respond to enquiries, run and improve our website, and protect our services, balanced against your rights.
  • Performance of a contract — to deliver services and manage client engagements.
  • Legal obligation — to comply with applicable laws, tax, and regulatory requirements.

4. How we use your information

  • Respond to your enquiries and follow up on potential engagements.
  • Provide, maintain, and improve our services and website.
  • Send service updates and transactional messages related to our work together.
  • Understand how the site is used and improve content and performance.
  • Meet our legal, accounting, and regulatory obligations.

We do not sell or rent your personal data to third parties.

5. Cookies & analytics

We use a small number of essential first-party cookies for core site functionality, and analytics cookies (for example Google Analytics) to understand how the site is used. Non-essential cookies are only set with your consent. You can accept or decline them through the consent banner on your first visit, and change your choice at any time through your browser settings.

6. Data sharing & international transfers

We may share personal data with trusted service providers who process it on our behalf — for example hosting, email, and analytics providers — under written agreements that require them to keep it secure and use it only as instructed. Where data is transferred outside the UK, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.

7. Data retention

We keep personal data only for as long as necessary for the purposes set out above. Enquiry and contact data is generally retained for up to two years from our last meaningful interaction, unless a longer period is required by law or by an ongoing engagement. You can ask us to delete your data at any time (see your rights below).

8. Your rights under the UK GDPR

You have the following rights in relation to your personal data. To exercise any of them, email hello@ironwolfetech.co.uk.

  • Right of access — request a copy of the personal data we hold about you (Article 15).
  • Right to rectification — ask us to correct inaccurate or incomplete data (Article 16).
  • Right to erasure — ask us to delete your data where there is no overriding reason to keep it (Article 17).
  • Right to restrict processing — ask us to limit how we use your data (Article 18).
  • Right to data portability — receive your data in a portable format (Article 20).
  • Right to object — object to processing based on legitimate interests or direct marketing (Article 21).
  • Right to withdraw consent — withdraw consent at any time, without affecting prior processing.

9. Data security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit (SSL/TLS), access controls, and secure infrastructure. No method of transmission or storage is completely secure, but we work to protect your data and regularly review our safeguards.

10. Children's privacy

Our website and services are not directed at children under 16, and we do not knowingly collect their data. If you believe a child has provided us with personal data, please contact us and we will delete it.

11. Data breach notification

If a personal data breach is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office (ICO) within 72 hours where required, and inform affected individuals without undue delay, in line with Articles 33 and 34 of the UK GDPR.

12. How to complain

We would always prefer to resolve any concern directly, so please contact us first. You also have the right to lodge a complaint with the UK Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.
